MS Word
Microsoft Word:
Microsoft Word is a word processor application program which is used to create any types of letters, notes and more types of official document & user can format the contents simply and complex. In the MS Word there are available all possible option which helps user can create a good document. Like spelling and grammar check, hyphenation, mail merge, change case etc.
The Title Bar:
It is displayed at the top of the every application which displays the title of the document. When you open MS word the first new document opens with document 1and when you save your document it displays the name of your file which you have given.
The MS Office Button (Alt+F):
It displays at left side of the title bar. Where user can create a new file, open an existing file, save a file and perform many other tasks.
The Ribbon:
The ribbon is located below the quick access toolbar. At the top of the ribbon there are several tools. Clicking on these tabs displays several commands group.
The
Ruler:
It is located below the ribbon which is used to change the
format of your document.
Text Area:
It displays below the ruler. It is a large area called text area
and also called working area of MS Word.
Home Tab (Alt+H):
Paste (Ctrl+V): - It is used to paste the cut or copy data at the
cursor point.
Paste special (Alt+Ctrl+V): - It is used to filter from cut or copy
data and paste at the cursor point.
Cut (Ctrl+X): It is used to cut the selected text or object.
Copy (Ctrl+C): It is used to copy the selected text or object.
Format painter (Ctrl+Shift+C): It is used to copy formatting from
one place and apply it to another place.
Clipboard: It is a temporarily memory storage device that storage only
cut and copy data which is cut or copy last 24 times. User can paste
that data many times on the position of the cursor point.
Font (Ctrl+Shift+F): - It is used to change the font face of selected text
or in the document. By default font is Calibri.
Font size (Ctrl+Shift+P): - It is used to change the font size of
selected text or in the document. By default font size is 11 and
the maximum size is 1638.
Grow font (Ctrl+Shift+>): - It is used to increase the font size.
Shrink font (Ctrl+Shift+<): - It is used to decrease the font size.
Bold (Ctrl+B): - It is used to make bold of selected text.
Italic (Ctrl+I): - It is used to make italic of selected text.
Underline (Ctrl+U): It is used to make underline of selected text.
Strikethrough: It is used to draw a line through the middle of the
selected text.
Subscript (Ctrl+=): It is used to make small letter bellow the text
base line.
Superscript (Ctrl+Shift++): It is used to create a small letter above
the line or the text.
Change case: It is used to change the case of selected text. Like
capital letters, small letters, sentence case etc
There are five cases in MS Word-
(i) Sentence case
(ii) Lower case
(iii) Upper case
(iv) Capitalize Each Word
(v) Toggle case
Text highlight color: It is used to highlight the selected text with
behind the color.
Font color: It is used to change the color of selected text.
Clear formatting: It is used to clear the formatting of selected text,
leaving only the plain text.
Bullet: In MS Word you can easily create bullet or number list.
There are many types of bullets are available in MS Word.
Decrease Indent: It is used to decrease the indent level of the paragraph.
Increase Indent: It is used to increase the indent level of the paragraph.
Sort: It is used to alphabetize the selected text, sort numeric data and
date in order of ascending or descending.
Align text: There are four types of align in MS Word.
(i) Left align (Ctrl+L)
(ii) Right align (Ctrl+R)
(iii) Center align (Ctrl+E)
(iv) Justify align (Ctrl+J)
Line spacing: It is used to change the spacing between lines of text.
You can also customize the amount of space added before and
after paragraph. By default line space is 1.15.
Shading: It is used to color behind the selected line or paragraph.
Border: It is used to insert the paragraph border in your document.
There are many kinds of border available in MS Word.
Style: A style is a fully decorated format that allows you to change
the format of your document. There are many styles available in MS Word.
Find (Ctrl+F): It is used to find the character, word and sentence in
your document.
Replace (Ctrl+H): It is used to replace the character, word and sentence
in your document.
Select: It is used to select character, word, sentence and object in
your document.
Insert Tab (Alt+N):
Cover page: - It is used to insert the decorated page cover in
your document.
Blank page: - It is used to insert the blank page in your document.
Page break (Ctrl+Enter): - It is used to break the page from
the cursor point.
Table: - It is the collection of records which is arranged in the form of
row and column.
There are two different methods of inserting table –
(i) Draw table: - For this you have to check option “Draw table”
according to your need.
(i) Insert table: - This method guidelines user step by step, how to
create structure of table. From this method user only need to define
number of
column and row.
Note:
- User can insert large
amount of column 1 to 63 and row 1 to 32767.
Picture: - It is used to insert the picture from file in your document.
Clip art: - It is used to insert the picture from clip art in your document.
Shapes: - It is used to insert readymade shapes in your document.
Such as rectangle, circle, arrow, line, symbol etc.
Smart art: - Smart art is a collection of graphics. It is used to create
simple and effective diagrams, organization chart or flow charts with
many more option.
Chart: - It is a graphical representation of numeric data.
Hyperlink (Ctrl+K): - It is an analysis of MS Word which is used to
create link between two different files. Just for active to other file.
User can create link on selected text, word or letter.
Bookmark: - It is used to fix the cursor position in the line or active
file with a name.
Header and footer: - Header means top position and footer means
bottom position of the page. It is used to add heading, page number,
date & time at the top or bottom of active files in whole page.
Page number: - User can input page number on header and footer of
page. User can define page number, position, alignment format and
style according to need.
Text box: - It is used to draw a text box in your document.
Word Art: - It is used to insert decorated text in your document.
Drop cap: - It is used to create a large capital letter at the beginning
of a paragraph.
Signature line: - It is used to insert a signature line that specifies
the individual who must sign.
Date & Time: - It is used to insert current date & Time in your document.
Equation: - It is used to insert mathematical equation in your document.
Symbol: - It is used for inserting symbol on the position of cursor point.
Page layout (Alt+P): -
Themes: - It is used to change the overall design of the entire
document. Such as including color, change font & effect.
Margins: - It is used to select the margins size for the entire
document or the current section.
Orientation: - It is used to switch the pages between portrait or
landscape layout.
Size: - It is used to choose the paper size for the current document.
By default paper size is letter.
Column: - It is used to split text into two or more column.
Breaks: - It is used to break the column or page in the document.
Line number: - It is used to add the line numbers in your document.
Hyphenation: - It is a great feature of MS Word that provides you
to automatically hyphenate your document through the hyphenation option.
Watermark: - This option is used to add text or image that appears
behind the text in your document.
Page color: - It is used to choose the background color of the page.
Page border: - It is used to set the border around the page. There are
many types of border available in MS Word.
Position: - It is used to set the position of selected picture in
your document.
Text wrapping: - It is used to change the way text wraps around the object.
Align: - It is used to align the edge of multiple select objects.
Rotate: - It is used to rotate the selected object with specific angle.
References Tab (Alt+S): -
Table of contents: - It is used to add a table of contents to the document.
Insert footnote (Alt+Ctrl+F): - It is used to insert footnote in
the document.
Mailing Tab (Alt+M): -
Envelopes: - It is used to add the address to the left or right on
the envelopes.
Labels: - MS Word provides an easy way to make customize labels that
suit for user needs.
Mail Merge: - Mail Merge is an analysis of MS Word which is used
to convert one page document in more than one page. It is a great feature
of MS Word.
For this you have to create two different documents, main document
and data source document.
Main document: -Main document is a document which you have
to print on the paper
Data source document: - It is collection of records which has to
insert in the main document.
Review Tab (Alt+R): -
Spelling and Grammar (F7): - It is a common list of review tab which helps user to check about grammar and spelling mistake. If you commit mistake in spelling, computer will reject that matter and indicate spelling mistake with red jacking underline and if you commit grammatical mistake computer will reject that matter and indicate that with green jacking underline. We can check spelling and grammar mistake as allows.
Research: - It is used to research reference materials, such as dictionary, encyclopedias and translation services.
Thesaurus (Shift+F7): - It is used to suggest other words with a similar meaning to the word you have selected. It is also a great feature which helps user about display syno-antonyms of the given words by the user.
Translate: - It is used to translate the selected text into different language.
Word count: - It is used to find out the numbers of words, character, paragraph and lines in the documents. You can also find the word count in the status bar.
Comment: - It is used to add a comment about the selection.
Track change: - It is a great feature of MS Word which allows you to see what changes have been made to a document.
Compare: - It is used to compare and combine two different documents.
View Tab (Alt+W): -
Print layout: - This is the first view of MS Word where user can create any types of document and format of document according to need. When you change in this view ruler will display from two sides as top and left with four side margins.
Full screen reading: - This is the second view of MS Word which is used to full screen the document for reading. When you change in this view all tab, ribbon, status bar will hide.
Web layout: - Web layout is to support the HTML (Hyper Text Markup Language) format file. When you download the document from Internet then that document will store in this view.
When you change in this view ruler will be displayed from the top only without margin.
Outline: - This is the 4th view of MS Word which helps about displays his document contents as classify mode.
Draft: - Here user can create normal document and format also. In this view user can not complete formatting of document contains and when you change in this view ruler will display from top position only with right side margin.
New Window: - It is used to create a new window of active file just to change only serial number.
Arrange all: - It is used to arrange all open MS Word application at same time.
Split: - It is used to divide your screen into two parts. Such as top and bottom where top screen contents will never hide.
Switch windows: - It is used to switch to a different currently open window.
Macros (Alt+F8): - It is used to record a macro or to access other macro option. Which you can create run or delete.
